A Manufacturer Broker’s AI-Powered Order and Commission Management Solution

Overview

A Midwestern manufacturers’ broker focused on electrical and utility products needed to work more efficiently and its current order management system (OMS) couldn’t keep up.

The brand partnered with NvisionKC to build a custom solution to converts manual, document-heavy operations into automated, data-driven systems.

The Challenge

The manufacturers’ broker makes its living connecting manufacturers with the distributors and utilities that buy their products. And our client earns revenue through making a commission on every sale.

It had an OMS to keep track of it all, but it was almost entirely manual, leaving the heavy lifting to people. The OMS provided issues in several key areas.

·      Every purchase order and order acknowledgement arrived as a PDF in the layout of each manufacturer and distributor using its own layout. It then had to be hand-keyed into the system.

·      Sporadically, more than a dozen manufacturers each sent a commission statement in its own format (modern Excel, legacy .xls, native and scanned PDFs, and even emailed reports), that someone had to read line by line to confirm which orders had paid and whether the commission was right.

·      Hours of error-prone manual entry every week, slow month-end closes, and ongoing uncertainty about which commissions had been paid and which were still owed.

Our Strategy

NvisionKC replaced that manual system with a modern OMS that automatically turns the very same documents into structured, reconciled data. The new solution allowed for the same process no matter the format. That process is powered by a custom-trained AI tuned to the messy realities of real-world manufacturer statements.

It also features drag-and-drop document intelligence where users can drop in a purchase order, acknowledgement, or commission statement in virtually any format and an AI extraction reads it without having to maintain templates. The system standardizes inconsistent PO numbers, intelligently matches customer and product names to existing records, and auto-links every paid commission line to the order it belongs to, surfacing only the exceptions a person needs to review.

With orders, acknowledgements, customers, products, manufacturers, sales reps, and commissions all living in a single location, the broker now has a single source of truth with real-time dashboards. That single source of truth lives within a secure platform that can be found in the cloud and scales on demand. Microsoft Entra ID single sign-on, role-based access, and per-rep data scoping gives the company the security it needs.

Our Impact

The new OMS now does the heavy lifting the company previously relied on people to accomplish. AIs now read and document files that were previously read and typed by an employee. Meanwhile, each paid commission line is matched to the order it belongs to automatically, with staff reviews now being the exceptions instead of the norm. Finally, employees now have a real-time dashboard rather than a monthly reporting deck to be able to react to what is happening when it’s happening.

Conclusion

By partnering with NvisionKC, the manufacturers' broker transformed what was once a labor-intensive, error-prone operation into a fully automated, data-driven system. Where staff once spent hours each week manually keying in purchase orders and reconciling commission statements one line at a time, they can now drop virtually any document into a single pipeline and let AI do the reading, matching, and reconciliation.

For the first time, the client has a real-time answer to the questions that drive their business: what was sold, what commissions have been paid, and what is still owed. What the client couldn't do before, such as seeing their entire order and commission picture clearly, instantly, and without manual effort, is now simply how their business runs.
